A Dubai-based Life Sciences and Diagnostics company is looking to recruit an administrative/accounting/logistics assistant for its office in Dubai, candidates should have office management experience, advanced skills in handling MS office applications, filing and accounting knowledge and logistics understanding.
This position will be responsible for all administrative and book keeping functions in the office in addition to making sure a proper filing system is in place, candidates with marketing tools knowledge are preferred, a UAE valid driver's license is a must. This position will also be responsible for generating proforma invoices for products shipped from Europe and must be able to handle all logistics coordination with freight forwarders in Europe and the US and needs to be capable to prepare shipment documentation like certificates of origin, packing lists and commercial invoices.
Job responsibilities will include - but not limited to - the following tasks:
• Managing all HR files and functions
• Managing accounting, receivables, invoicing, preparation of shipping documents, import licenses
• Handling bank transactions
• Review, file and reimburse expense reports
• Handling travel arrangement
• Acting as a PA to the office manager
• Managing freight forwarders, shipments
• Setting up office SOPs
• Organizing all filing functions
• Setting up report templates for sales, marketing, sales numbers
• Preparing analysis charts from QuickBooks for P&L, Balance Sheet
• Handling government affairs when and if needed
• Monitoring and managing inventory
• Tender documentation preparation
• Liaise with all technical, logistics and accounting personnel at Principals' companies to insure smooth order taking and execution

Skills

• Experience in Distribution Channels Management
• Experience in Logistics and shipping
• Experience working for a diagnostics/life sciences sales organization
• Self motivated, dynamic and solution oriented character
• HR management, accounting, office management experience
• Fluent English, French is a highly desired
• UAE residents with valid driver's license
• Computer literate (MS applications) and QuickBooks
• Graphics software knowledge is a plus
