Provide personal administrative and secretarial support to the General Manager. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction. This position involves performing secretarial services requiring independent judgment, initiative and discretion. Responsibilities include but not limited to greeting visitors, answering phones, receiving and distributing mail and correspondence, gathering data and compiling various reports for management, conducting projects and assignments, photocopying, maintaining files, ordering supplies and issuing correspondence and translation between Arabic and English languages (a third language is recommended).
Job Qualifications
• Prepare correspondence, reports and materials for publications and presentations.
• Attends requested meetings with the General Manager.
• Maintain General Manager calendar, gives appointment reminders, arranges and confirms meetings and makes travel arrangements.
• Setup accommodation, public relations and entertainment arrangements for company visitors.
• Prepare and maintain management's expense report.
• Setup and coordinate arrangements for meetings and conferences.
• Records, transcribes and distribute minutes of meetings.
• Answer telephones and handle in appropriate manner.
• Meet and greet clients and visitors.
• Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
• Maintain hard copy and electronic filing system.
• Sign for UPS/FedEx/Airborne packages.
• Research, price and purchase office supplies.
• Supervise support staff.
• Prepare translation of documents (English-Arabic and vice versa).
• Organizes and maintains various administrative, reference and follow-up files, timesheets and ads for recruitment of new staff, purges files as requested.
• Organizes own work, sets priorities and meets critical deadlines and ensures that such deadlines are met by other staff.
